OVERVIEW

Dolby is looking for a Facilities Infrastructure Analyst (FIA) to join our Global Workplace Services (GWS) division. 

 

The FIA is responsible for assisting the Facility Manager, Americas, in the development and implementation of a comprehensive facility infrastructure program, including Operations & Maintenance, operating and capital improvement project development and management and more in the Americas region.  The person in this position has independent responsibility to lead assigned planning and delivery of contracted services engaged in Dolby’s portfolio of office, laboratory, cinema, manufacturing, and mixed-use facilities. The FIA also independently responds to and manages unplanned repairs and emergencies per protocol from start to finish.  Some of the facilities are leased, and some are owned by Dolby and others.  There are currently approximately 15 facilities comprising up to 1M sq ft. in this portfolio, including Dolby’s Global Headquarters in San Francisco, CA.

 

RESPONSIBILITIES

  • Under the supervision of the Facility Manager, the FIA will develop, authorize, verify, approve, lead and oversee delivery of technical scopes of Operations & Maintenance work conducted by service providers and contractors. These activities comprise 65% of working hours:
  • Conduct comprehensive on-site facilities reviews and evaluation analysis to ensure facilities meet target operational, maintenance, code compliance, safety, technical, sustainability and asset preservation goals;
  • Lead emergency response efforts and own incident management teamwork, reporting, communications and remediation actions per protocol for various types of unplanned events.  Develop and report Root Cause Analyses as needed; 
  • Team with other Dolby leaders, staff and service providers to ensure that preventive maintenance and unplanned repairs are conducted in a timely manner to meet contract, budgetary and industry quality assurance and quality control standards that prolong the life of Dolby’s equipment and assets;
  • Analyze performance and provide feedback to the Facility Manager for validation of contractor work or improvement as necessary via the contractual Key Performance Indicator (KPI) processes; 
  • Monitor ServiceNow facilities workflow dashboards for trends.  Analyze issues and address as necessary; 
  • Own the process of making rounds of the various facilities per assigned schedule to identify any safety or operational hazards and lead mitigation efforts with associated stakeholders such as the Environmental Health & Safety and Security teams;
  • Respond timely and lead implementation with service providers of work and documentation required for code compliance as identified by Authorities Having Jurisdiction;
  • Prepare and deliver presentations and reports, communicate professionally and with a focus on customer service in person, verbally and in writing.  Manage documentation in a highly organized manner;
  • Own and manage programs that support Dolby IT such as the planned bulk UPS battery replacements and UPS alarm responses per protocol;
  • Work directly with landlords to address Dolby tenant facility needs, address landlord and property management issues, and provide technical assistance as necessary;
  • Collaborate with stakeholders on business program and process development efforts, such as Emergency Response & Management teams, etc.

 

  • Provide leadership and teamwork in the development, budgeting, contracting, technical review, design, execution and delivered quality of assigned Facilities, Lab Management, GWS and other Operating and Capital projects.  These activities comprise 25% of working hours;
  • Collaborate with architectural and building systems design teams and project managers to ensure new construction projects in facilities employ standards and support sustainability goals to the extent possible, and meet long term maintainability goals while delivering the expected results for occupants;
  • Project management of assigned work efforts in all aspects;
  • Own comprehensive design and technical proposal review and analysis of planned Facilities Infrastructure projects with a focus on operational efficiency, materials suitability, standardization and maintainability, utility consumption and sustainability.  Ensure review and approval by other applicable business groups and stakeholders; 
  • Lead, in partnership with Lab Management and other business groups within Dolby as required, identification, planning, contracting and assessment of necessary project work to preserve, maintain, and improve the various facilities assigned;
  • Provide technical drawing and document review, analysis and approval for Facilities, Labs, and GWS construction projects with a focus on maintainability, utility conservation, standardization, etc.;
  • Lead assigned projects to on-time/on-budget completion and provide oversight for work related to maintenance, operations, asset preservation, and facilities improvements;
  • Analyze, conform to standard, and process technical proposals for work scope, cost, schedule, and work value. Analyze and compare short, medium and long term financial and operational options and independently recommend or implement solutions per approved authority level;
  • Conduct job-site review before, during, and after project work to ensure maintenance and project quality and deliverables are met.

 

  • At the direction of the Facility Manager, the FIA will perform periodic administration of established facilities management practices including procurement and contracting of facilities infrastructure services and projects.  These activities comprise 10% of working hours:
  • Master and own the Coupa and other systems and processes as required to gain approval for contracted work and shepherd contracts, Master Service Agreements, and Purchase Orders (POs) through the systems, working directly with vendors and internal decision makers as needed for timely PO generation;
  • Provide leadership and teamwork with the Facility Manager in partnering with vendors regarding invoicing and payment, and researching, analyzing and reporting budget forecast variances as requested;
  • Own Dolby’s utility accounts – track, analyze and trend all utility accounts at Dolby-responsible Americas sites and work directly with utility companies and Dolby’s AP department on improvements and changes/corrections, rate change requests, analyzing and implementing savings measures, climate action programs, etc. and lead budget planning for utilities.

 

QUALIFICATIONS:

  • Bachelors’ degree in a relevant field of study
  • 3 years of building or systems management, facilities maintenance, project management, customer service and budgeting/cost analysis experience.
  • Valid driver’s license is required, along with the ability to travel as requested from time to time
  • Working knowledge of mechanical, HVAC, electrical, lighting, plumbing, roofing, utility management, building automation technology, and other fundamentals of facility infrastructure subject matter is required. 
  • Additional directly related experience and/or education may be substituted on a year-for-year basis.  Computer proficiency in MS Office Suite is required, and the ability quickly to learn other business enterprise systems. 
  • The ability to multi-task and manage remotely when needed in an ever-changing environment, sometimes under pressure, is required, along with flexible hours and excellent teamwork. 
  • Also required is the discretion to appropriately handle confidential information and intellectual property per company policy.  
  • The ability to demonstrate excellent leadership in customer service through professional written and oral business communication and teamwork
  • Client needs assessments, expectations management, planning, training, and thorough follow-up, internally and externally, at all levels of engaged organizations is also required
  • Information analysis and mechanical aptitude are expected
  • OSHA, Facility Management, LEED, Quality Program (Six-Sigma or others), Project Management and Emergency Management certifications and training are highly desirable.
