Dolby Overview

Reporting to Director, Licensing Sales, CP Japan, the Sales Assistant performs a variety of specialized and regular administrative support tasks primarily to assist Licensing Sales team by following the instructions from Director, Licensing Sales and secondary instructions from the Vice President, CP Japan.  Applies basic job skills and knowledge of procedures and processes.   Normally receives general instructions on routine work, detailed instructions on new assignments.  Works independently on routine assignments where the ability to recognize deviation from accepted practice is required. 

In addition, co-works with the Executive Assistant of Vice President and the Administrative Assistant on daily office operation matters by following the instructions from the VP and also performs a back-up for the Executive Assistant in EA’s absence.


Essential Job Functions

  • Multi-functional Staff & Assistance Role in the following area for overall CP business including sales events and outside marketing activities, which are not sufficiently covered by the existing functional teams.
  • Outside Marketing:
  1. To play a role of staff in charge or assistant staff of sales events.   
  2. To assist sales/marketing events led by the local marketing team.
  3. To collect Dolby-related information as the material of newly planned (the local) “Customer News Letter from Sales”, to prepare the 1st draft, and to manage its distribution of approved internal draft to customers designated by Licensing Sales team.
  • Sales: 
  1. To take care of customers visiting Licensing Sales team while EA takes care of customers visiting to VP Japan in Dolby Tokyo office.   (such as stand-by and receiving clients)
  2. To demonstrate some of patterned Dolby Vision, Atmos and Voice experience to those customers if/when instructed by Licensing Sales team  
  • Other tasks in assisting Licensing Sales may include:
  1. Provide detailed data, information and resources in preparation for meetings.
  2. Coordinate communications, agenda planning, logistics, meeting facilitation, and follow-up for License Sales related meetings.
  3. Assist in the budget planning and monitoring process of Revenue & Commercial Win over the course of the fiscal year.
  4. Assist in the budget planning and monitoring process of OPEX over the course of the fiscal year. 
  5. Support and coordinate logistical requirements of visitors to the region.  This may include room, flight reservations, meeting arrangements, airport transfers, etc.


Other Responsibilities:

  • Co-works with Administrative Assistant who is primarily responsible for office management on daily office operation, such as answering general phones, maintaining the cleanliness of the office, handling visitors and tea serving.
  • Plays an acting EA role temporarily during EA’s absence.
  • Performs duties as assigned by Vice President and Sales Director, CP Japan

Education, Skills, Abilities, and Experience Required

  • Typing skills of 60 wpm.
  • Minimum 3 years of sales support and admin support experience
  • Good verbal and written communication skills.
  • Excellent computer skills; highly experienced in Windows including Word, Excel, PowerPoint and MS Outlook. Quick at picking up new tools.
  • Native-level Japanese proficiency and fair or good level of English
  • Timely reporting and escalation (‘ho-ren-so’)
  • Possess a pleasant personality and a supportive attitude to all staff
  • Clerical skills with demonstrated attention to detail
  • Ability to handle multi-tasks with good time management and prioritization under the manager’s supervision
  • Ability to work in a team environment with a diverse group of technical staff essentials.
  • Must be able to maintain strict confidentiality
