The Office Manager will be responsible for ensuring the smooth operation of our office environment while providing executive assistance to the Site Lead. This role combines administrative responsibilities with high-level executive support, making it ideal for a detail-oriented professional who thrives in a fast-paced setting.
Key Responsibilities:
Office Management
· Oversee daily office operations and maintain a welcoming and efficient work environment in cooperation with other teams.
· Organize and schedule assigned meetings, appointments, and office events.
· Manage relationships with selected vendors, service providers, and external partners.
· Handle incoming and outgoing correspondence, including mail, emails, and phone calls with support of other teams.
· Prepare and distribute internal communications and announcements.
· Coordinate all activities for the Wroclaw Management team, ensuring seamless integration of tasks.
· Organize big events (conferences), trainings, etc. (computer auctions, charity events) in cooperation with other teams.
· Liaise between corporate legal and local Tax Advisor to handle local contracts and other financial matters (e.g. Travel expenses).
· Support employees with Travel expenses – be local expert and advisor.
· Manage assigned contracts - negotiations with vendors, legal pre-check, review, organize storage system.
· Be knowledgeable of and comply with company policies and procedures regarding personnel, financial planning and controls, computer use, and workplace security.
· Plan for, budget for, and manage daily tasks efficiently.
Executive Assistance
· Provide administrative support to the executive team, including calendar management, travel arrangements, and expense reporting.
· Assist with the preparation of presentations, reports, and other documents.
· Coordinate and attend meetings, taking minutes and following up on action items.
· Act as a liaison between executives and other employees, clients, and external partners.
· Support and host key visitors.
· Handle confidential and sensitive information with discretion.
General
· Plan for and produce work of high professional quality. Be dependable and take initiative in completing assignments.
· Be open to learning and using new skills and competencies. Maintain, update, and improve previously acquired skills and knowledge to meet evolving position requirements.
· Exhibit professional courtesy and respectful behaviour that enhances the company's image.
· Cooperate effectively with other staff to resolve issues and conflicts.
· Assist other departments in fulfilling their responsibilities.
· Handle all duties with a high level of confidentiality and integrity.
Qualifications:
· Bachelor’s or Master’s degree.
· Proven experience (4+ years) as an Office Manager or Executive Assistant.
· Basic Project Management knowledge.
· Excellent organizational and multitasking abilities.
· Strong written and verbal communication skills in English.
· Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
· Familiarity with office management procedures.
· Ability to work independently and as part of a team.
· Professional demeanor and strong interpersonal skills.
Preferred Qualifications:
· Experience in a fast-paced ever-changing environment.
· Knowledge of project management software and tools.
· Basic accounting principles.
